What a freight agent sees in the portal
Give an agent portal access and they see the files they are a party to — plus the files of the customers they manage.
An agent is a portal user with a wider view than a shipper or a consignee. They see the files they are named on, and — when you have told Linbis which accounts they manage — the files of those accounts too.
How an agent gets access
Exactly like any other portal user: open the agent's account under Accounts, select Invite to portal, and choose the Agent role. See Invite a customer to the portal.
What they see
Shipments and bookings. Every file where the agent is the agent, the forwarding agent, the destination agent, the shipper, the consignee, or the bill-to party. Most freight files name an agent in one of the first three, so this is the bulk of what they work on.
Their customers' files. If an account lists this agent as its agent, that account's files appear too. This is the difference between an agent and a plain customer contact, and it is what makes the surface useful to someone who coordinates on behalf of others.
Their own accounts. An Accounts page listing the accounts they manage, with contact details — never your commercial terms with those accounts. Credit limits, commission rates and balances are not part of the portal.
What they do NOT see
The wider view is READ-only. An agent can open and follow a managed customer's file; they cannot edit it, approve its documents, or post on its behalf. Write access still requires being the agent named on that specific file.
On a file reached only through the account relationship — not named on it — financial and legally-restricted documents are withheld: invoices, rate agreements, customs entries, EEI and ISF filings, powers of attorney, arrival notices. Operational paperwork still comes through: packing lists, delivery orders, certificates of origin, proof of delivery, cargo photos, weight certificates.
Prices follow the same line. An agent sees the price of a quote they raised or are billed for, and never the price of a quote belonging to a customer they merely manage.
Booking on behalf of a managed account
When an agent requests a shipment or a quote, they can pick which of their accounts it is for. The file is created for that customer, with the agent recorded as the agent on it — so it stays in both parties' view.
