Review and merge duplicate accounts

The Duplicate Accounts screen — confidence tiles, the similarity filter, the side-by-side comparison, field-by-field keep choices, and the admin-only merge.

Duplicate Accounts (/accounts/duplicates, reached from Duplicates on the All Accounts header) surfaces likely duplicate pairs so you can merge them. The header counts how many potential duplicates were found, and four tiles break the list into Potential duplicates, High confidence, Medium confidence, and Low confidence.

Find candidates

Set Min similarity (50%–90%) to widen or tighten the suggestions. Each candidate row shows the two account names side by side, a match-percentage pill (for example 85% match), and chips for the fields that matched. When nothing qualifies you see "No duplicate candidates found" with "Try lowering the similarity threshold to see more suggestions."

When there are more pairs than fit on one page, Previous and Next buttons appear below the list alongside a Page X of Y (N total) indicator, so you can step through every candidate without losing your place.

Compare side by side

Click a candidate to expand the Duplicate Comparison. Pick Which account should survive? with the radio buttons — the survivor keeps the record; the other is merged into it. A field table lists Name, Legal Name, Email, Phone, Tax ID, Website, and Notes for both, side by side. Where the values differ, choose Survivor or Merged under Keep; matching fields read Same.

Merge

Merge Accounts performs the merge; Not a Duplicate dismisses the pair instead. Merging is admin-only — a non-admin sees "Only an administrator can execute an account merge." If both accounts have issued invoices or bills, a guardrail dialog appears — "Both accounts have issued documents" — and you must tick the acknowledgement before Merge anyway. A merge cannot be undone.

You can also merge two accounts directly from the list: select exactly two rows on All Accounts and choose Merge selected, which opens the same comparison with a relation-impact summary.
