Email Rules

Auto-route incoming mail the instant it lands — match on sender, subject, or mailbox, then assign, tag, or notify, and dry-run a rule before it goes live.

Email Rules (/settings/email-rules) route incoming mail automatically: "match on sender, subject, mailbox and more, then assign a teammate, add a tag or notify someone. Rules run top to bottom — drag to change priority." They run before the email agent touches a message.

Create a rule

New rule opens the editor. Give it a Rule name, choose whether All conditions or Any condition must match, then build:

  • Conditions — one or more rows of a field (From, To, Cc, Subject, Body, Provider, Mailbox, Has attachment), an operator (contains, equals, starts with, ends with, is true), and a value. Add condition / Remove condition manage the list.
  • Actions — Assign to teammate, Add tag, or Notify teammate, run in order.
  • Mailboxes — limit the rule to specific inboxes, or "Leave empty to apply this rule to every connected mailbox."
  • Stop processing — "Skip all later rules when this one matches," and an Enabled switch.

Choose Create rule (or Save changes when editing).

Order and manage rules

Rules run in list order — "earlier rules run first; drag to reorder" with the grip handle. Each row has an enable/disable Switch, Edit (pencil), and Delete (trash), which confirms the rule "will stop running immediately."

Test before you rely on it

Test your rules dry-runs against a real message: "Pick a recent email and preview exactly which rules would match and what they would do — nothing is executed." Choose a Recent email, select Run test, and each rule reports Matched, No match, or Disabled, listing the resulting assign/tag/notify actions — without ever executing them.
