Workflow Templates

Design and manage operational workflows — create a template, scope it by entity and trigger, toggle it active, clone system templates, and delete your own.

Workflow Templates (/settings/workflows) is the gallery where you "Design and manage your operational workflows." Each card is a template that runs against a record type when its trigger fires; open one in the Workflow Builder to lay out the steps.

Create a template

Choose Create New to open Create Workflow Template:

  1. Give it a Name (for example "Sea Import LCL").
  2. Pick an Entity Type — Shipment, Account, Quote, Receipt, or File. If you choose Shipment, two optional filters appear: Transport Mode ("optional — empty = all": Air, Ocean, Ground) and Operation Type (Import, Export, Domestic).
  3. Pick a Trigger Type: On Create, On Field Change, On Status Change, Manual, Scheduled, or On Event.
  4. Select Create & Open Builder — the template is created and the builder opens.

Filter by search, Entity type, and Status (All / Active / Inactive); Clear filters resets them. Each card carries badges for its entity, trigger, version, whether it is System or Custom, and Active / Inactive, plus a step count. The card actions depend on ownership:

  • System templates — a View button (read-only in the builder) and Clone, which copies it to a custom template named "… (Copy)" so you can edit freely.
  • Custom templates — Edit (opens the builder) and a delete action that confirms "Delete workflow template? This will permanently delete … This action cannot be undone."

The active Switch at the top of each card turns a template on or off; turning one on may auto-deactivate a conflicting template and tells you which.
